Senior Administrative Assistant

Janssen Pharmaceuticals is recruiting for a Sr. Administrative Assistant located in Raritan, NJ. This position may require up to 10% travel.

Janssen Pharmaceuticals is hiring for a Senior Administrative Assistant.  This individual will be responsible for providing comprehensive administrative support within the Janssen Pharmaceutical Regulatory Compliance organization reporting to the Vice President. This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems.  


Duties will include:

  • Outlook - manage calendars, schedule meetings
  • Concur - make complex domestic and international travel arrangements and manage expense reports.  
  • Monitor email and highlight items for review or action, respond to routine correspondence under own signature or draft response for management review on more complex correspondence. Respond to complex inquiries from all levels of employees or external sources regarding a variety of questions.
  • Manage communications within the department, set up and coordinate employee communication meetings, prepare meeting agendas and assemble presentations and logistics for the department meetings.  Prepare meeting minutes summarizing meeting outcomes, memorandums, and correspondence.  Follow up on items delegated to others by management.  
  • Manage logistics with staff and work with various Business Partners. 
  • Track budget and expenses and manage department purchases through eMarketplace, ARIBA and other J&J Systems.  
  • Train Team coordinator:   Provide strategic direction and support for all aspects of Pharmaceutical Regulatory Compliance and R&D training practices.  Focus on enabling and supporting across PRC functional training needs up to and including training curriculum, end-to-end training delivery and related support. 
  • Records Management Coordinator.  Primary business resource for records management activities. 
  • Assist with on-boarding program of new hires. 

This individual will interact with management on a day-to-day basis, handling very confidential documents and materials.  The position will require the individual to exercise independent discretion and judgment to solve complex problems regarding project, department or division-related work.  Must have ability to make last-minute changes to calendar due to shifting priorities.  Must often make decisions without prior approval from assigned leaders.  Know and follow all laws and policies that apply to one's job, and maintain the highest levels of professionalism, ethics, and compliance at all times.  Other duties as assigned.

  • A minimum of a High School diploma is required.  An Associate's degree (or higher) is strongly preferred. 
  • A minimum of 4 years of administrative experience is required. 
  • Demonstrated proficiency in Microsoft Office Standard (Word, Excel, PowerPoint, and Outlook) is required. 
  • Experience managing multiple complex calendars via Outlook is required. 
  • Experience working with Worksense, eMarketplace, Ariba or a related accounts payable system, Concur or a related travel and expense reporting system is required.
  • A strong sense of urgency while maintaining a high degree of professionalism is required. 
  • Individual must be customer and employee focused with the ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required; Strong organizational skills are required. 
  • Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment. 
  • Flexibility to work occasional overtime when the need arises is strongly preferred. 
  • Experience supporting and working in a Global Organization is preferred. 
  • Analytics experience is preferred. 
  • Experience in the Quality environment is a plus.
  • Excellent verbal and written communication skills, exceptional interpersonal skills, strong collaboration skills and ability to partner and work cooperatively with all levels from Executive Leadership and Senior Management in and across enterprise organization as well as all levels of employees across the organization globally as needed are required. 
  • Fluent in English required
